How to Create Forms in a Review Cycle

Click here to watch the video! 1. Choosing a Reviewer Type to Add Questions Under Step 3 Forms, you will see the different reviewer types enabled for the review cycle. Click on the Create Form option under the reviewer type for which you want to add questions Choosing a Reviewer Type to Add Questions 2. Create Form Scratch You can either Create from Scratch or Choose from Templates. If you choose Create from Scratch, you will need to manually add all questions. If you choose from Templates, you can directly use a set of pre-defined template-based questions. Now, we will learn how to create a form from scratch. Click on Create from Scratch Create Form Scratch 3. Choose Any Block After clicking on the Create from Scratch option, an empty form will open in the manager summary. When you hover over the Create New Block button, you will see a list of available blocks. Choose any block from the list Choose Any Block 4. Add Question Block Click on the Question Block to start adding questions to your form Add Question Block 5. Adding and Customizing Your Questions Click the QUESTION field to enter the question you want to include in the form. You can personalize the text by adding the custom variable {{reviewee_name}}, which will automatically display the reviewee’s name while writing reviews Adding and Customizing Your Questions 6. Adding Question Descriptions and Alias Click Add Description to provide additional context or instructions for the question. You can also add a short alias for the question, which is used in table headings during Calibration for better readability Adding Question Descriptions and Alias 7. Marking Questions as Private You can mark a question as Private when you want the reviewee to answer the question, but the responses should not be visible to the reviewee when the review is shared with them. To enable this, you need to turn on the toggle button. Use this option whenever you need the feedback to remain confidential. Private question responses will be visible only to admins Marking Questions as Private 8. Marking Question as Mandatory If you want the question to be mandatory, turn on the toggle button. If you do not want the question to be mandatory, turn off the toggle button. When this option is enabled, the question must be answered in order to submit the form while writing the review Marking Question as Mandatory 9. Assigning Section to a Question If you want a question to fall under a specific section, click the dropdown arrow under Select Section. A list of available sections will be displayed. Select the appropriate section for your question. Sections represent the themes or categories on which the questions are based Assigning Section to a Question 10. Create a Custom Section If you want to add a section of your own, you can do so by typing the section name you want to create. Then, click on the text box under the Select Section field. A dropdown will appear that shows create option with the section name that you have typed in select section field. Select the Create option from the dropdown to create your custom section Create a Custom Section 11. Choosing the Response Type for a Question You can select how the question should be answered: it can be either a Rating-Based Question or an Open-Text Question. You can also enable both options for a question if you want respondents to provide a rating as well as written feedback Please Note: If a question is only rating-based, the rating cannot be marked as optional, because the question is mandatory. If a question has both rating and open-text options, only one of them can be made optional Choosing the Response Type for a Question 12. Modifying Legends and Ratings You can modify the legends and ratings as per your preference Modifying Legends and Ratings 13. Adding New Ratings and Legends You can also add new ratings and legends if needed by clicking on the Add New option Adding New Ratings and Legends 14. Removing Unwanted Ratings or Legends If you don’t want certain ratings or legends to appear for example, if you only want 4-star ratings in your question you can remove the unwanted options by clicking the minus (-) icon next to the legend. This will delete the rating and legend you no longer need Removing Unwanted Ratings or Legends 15. Selecting the Display Style for Rating-Based Questions You can choose how a rating-based question should appear while writing reviews: List View – displays all rating options one by one. Dropdown View – allows reviewers to select a rating from a dropdown menu Selecting the Display Style for Rating-Based Questions 16. Configuring Open-Text Questions To display an open-text field under a question, tick the checkbox next to Open Text option. If both rating and open-text options are enabled, note that only one can be marked as optional either the rating or the open-text. You can also select how the open-text field appears during reviews: Descriptive – Provides a larger text area for detailed feedback Short Answer – Provides a smaller text box for brief responses Configuring Open-Text Questions 17. Score Visibility Under Advanced Settings, you can choose whether to display both the rating (number) and the legend (text) in review forms and review packets (PDFs). Enabled – Shows both the number and the legend (text) Disabled – Shows only the legend (text) Score Visibility 18. Adding a Question to the Form After adding the question and making the necessary changes, click on Add Question Block to add the question into the form Adding a Question to the Form 19. Adding a New Block To add a new block, click Create Another Block or New Block at the top-right corner. You can use this to add another question or any other type of block Adding a New Block 20. Add a Heading If you want to add a heading for a form, click on the Heading option under Create Another Block Add a Heading 21. Enter the Heading Name Under the Heading field, enter the name heading name you want to give to your form Enter the Heading Name 22. Adding the Heading to the Form After entering the heading name, click on Add Heading Block to insert the heading into your form Adding the Heading to the Form 23. Adding a Description If you want to add a description to your form, click on the Description block to add the description Adding a Description 24. Enter the Description Under the Description field, enter the text you want to display for your form Enter the Description 25. Enter Description Content Enter the text: Collect users’ overall satisfaction with our service along with their feedback to understand strengths and areas for improvement Enter Description Content 26. Reordering Questions, Headings, or Descriptions If you want to reorder a question, heading, or description: Place your cursor near the left side of the item you want to move. When you hover over the left side, you will see six dots appear. Click and drag the item to the desired position in your form Reordering Questions, Headings, or Descriptions 27. Click Goal Area If you want to include a Goal block in the form, click on the Goal Block option under the Create Another Block section Click Goal Area 28. Customizing Goal Block Questions You can customize the questions displayed in the Goal Block Customizing Goal Block Questions 29. Select Goal Section After clicking on the Goal Block, the Goal Block screen will open: Select a Goal Section – If you have created any additional goal sections in Step 2: Config, choose the section under which you want this goal to fall Default Section – If no additional sections have been created in Step 2: Config, select the default goal section displayed by the system Select Goal Section 30. Making Goal Block Questions Mandatory To make a Goal Block question mandatory, turn on the toggle button present near Mandatory field Making Goal Block Questions Mandatory 31. Choosing the Question Type for Goal Block In the Goal Block, there are two types of questions you can enable: Rating-Based Goal Question Open-Text Goal Question You can select either one or both, depending on what you want to display in the Goal Block. If you choose to include a rating-based question, make sure to tick the checkbox next to “Rating” to enable it for the goal Choosing the Question Type for Goal Block 32. Enabling Open-Text Questions in the Goal Block If you want to include an open-text question in your Goal Block, tick the checkbox next to Open Text. This will enable the open-text field for that goal Enabling Open-Text Questions in the Goal Block 33. Making the Open-Text Field Mandatory You can also make the open-text field mandatory by turning on the toggle button next to the Mandatory field Making the Open-Text Field Mandatory 34. Setting the Display Style for Open-Text Goal Questions You can choose how the open-text goal question should be displayed. The available display styles are: Descriptive – Provides a larger text area for detailed feedback Short Answer – Provides a smaller text box for brief responses Setting the Display Style for Open-Text Goal Questions 35. Goal Display Options You now have two ways to view goals: Linear Mode (existing view): A simple scroll-through layout, useful for quickly reading goals. Tabular Mode: A clean, grid-style layout that makes it easier to view and compare goals side by side. Customizable Columns in Tabular Mode You can adjust the goal display based on what you want to see: Choose which columns should be visible Arrange the columns in any order Create a layout that fits your team’s workflow Goal Display Options 36. Overall Score Ranges for Goals Under Advanced Settings of the Goals Block, you can view the overall score ranges. You can modify both the rating ranges and the legends based on your requirements Overall Score Ranges for Goals 37. Show Goal Progress in Reviews If you want to display goal progress while giving reviews, turn on the toggle button next to Show Goal Progress field Show Goal Progress in Reviews 39. Adding a Goal Block Question to the Form Click on Add Goal Block to ad question into the form. If you want to add a Competency Block to the form, you can follow the same steps used for adding a Goal Block. Setting up Bell-curve fitting in Calibration

- On the left sidebar of your dashboard, click on the "Reviews" icon. - Open the "Review Cycle" you want to work on. - Please refer to this link for guidance on configuring the "Edit Columns" option and setting up the 9-Box: https://help.peoplebox.ai/hc/peoplebox-help-center/articles/1728390031-setting-up-9box - Enable the "Show Analytics" toggle. - Note: You can visualize the score distribution using different chart types, either as a Bar Chart or Line Chart. The dropdown allows you to select a specific question to visualize its score distribution across reviewees. - Step Size: The step size sets the score range shown on the X-axis. Here, it’s 0.5, meaning each bar covers a range of 0.5 points (like 1.0–1.5, 1.6–2.0). X-axis: The X-axis displays the score ranges for reviewees, grouped according to the step size. For example, it shows ranges like 1.0–1.5, 2.6–3.0, and so on, indicating how many reviewees fall into each score category. Y-axis: The Y-axis shows the number of reviewees who fall into each score range. The taller the bar, the more reviewees received scores within that range. For instance, 6 reviewees scored between 2.6 and 3.0. - While the Median Score provides insight into the central tendency of the scores, the Average Score captures the overall score distribution. In the mentioned example: The Median Score of 3 indicates that half of the reviewees scored below this value and half above, reflecting the central tendency of the scores. In contrast, the Average Score of 2.8 is calculated by adding all scores and dividing by the number of reviewees, representing the overall mean. - You can customize the data: 1. Show Manager Score: View scores given by managers, reflecting their feedback and evaluation. 2. Show Calibration Score: View scores adjusted for consistency across different ratings. 3. Show Legends: Display legends to help understand score categories or data. - There are two options for displaying data on the chart: 1. Show Number: Displays the exact count of reviewees in each score range. Useful for quickly seeing how many people received a specific score. 2. Show Percentage: Displays the percentage of reviewees in each score range. Helpful for understanding the proportion of reviewees within each score range, especially with larger groups. - The "Line Chart" and its configurations are similar to the "Bar Chart". - You can add a column using the "Edit Column" option. In this case, we're adding "Final Score" as a custom column. - Select the Custom Column from the dropdown, and in this case, we are choosing "Final Score". - After selecting the Custom Column, you can view the calibrated scores, which are modified scores adjusted for calibration purposes. For instance: The first blue bar shows that 2 reviewees received scores between 1.6 and 2.0 after the calibration process. - You can adjust the questions for which you want to view scores. The scores displayed include both the original and calibrated scores for each question. In some cases, the original score may not be available if the reviewee was not assessed on that specific question. Additionally, you can view the Median and Average Scores for both the original and calibrated scores. Example: Here, In the 3.6–4.0 score range, there are 2 reviewees with original scores (shown by the green bar) and 2 reviewees with calibrated scores (indicated by the blue bar). This suggests that for this group of reviewees, the calibrated scores remained unchanged from their original scores, reflecting consistency in the evaluation.

Creating Weighted Score Questions

Creating other Reviewer Types (Peer, Direct Report) | Peoplebox Help Center For Goals: 1. Enable the Goals option in the review cycle. 2. Once the Goals option is enabled, additional settings will be revealed. 3. Configure these settings based on your specific requirements. For Competencies: 1. Toggle the Competency option to allow users to review all set competencies. 2. Enable the Competency Weightage option if you want to assign specific weights to each competency. While creating the form for the review cycle, select "Weighted Score" from the "Create Another Block" dropdown menu Select "Overall Weighted Score". The overall weighted score is calculated for the entire form by assigning weights to all relevant sections. In contrast, the sectional score is the average of the responses to all rating-based questions within a specific section Note: This is calculated for rating-based questions only Assign weights to different sections of the form, which will be used to calculate the overall weighted score. However, weights cannot be selected for individual sections Finally, click "Add Weighted Score Block" - In this example, the "Overall Score (Auto Calculated)" section reflects the final score derived from a weighted calculation, consisting of two components: - Goals: Weighted at 50%, contributing half of the overall score based on the reviewee's performance on goals. - Competency: Also weighted at 50%, contributing the other half based on the reviewee's competencies. The term "Auto Calculated" indicates that the system automatically computes the overall score by applying these weights to the respective scores in each section In this case, the Goal score is 4 And the Competency score is 3 - The auto-calculated overall score is determined using the following: - Goal Score: 4 (50% weight) contributes [[4×0.5=]][[2]] - Competency Score: 3 (50% weight) contributes [[3×0.5= ]][[1.5]] - The total overall score is calculated as [[2+1.5=]][[3.5]] - Thus, the final auto-calculated overall score is 3.5

Setting up 9-Box

- Note: The 9-Box Grid is a talent management tool that helps organizations assess individuals based on two axes, typically Performance and Potential. Each of the 9 boxes represents a combination of performance and potential, where employees are placed based on their evaluations. - On the left sidebar of your dashboard, click on the "Reviews" icon. - Open the "Review Cycle" you want to work on. - Select "Edit Columns" to choose the questions you'd like to incorporate into the 9-box and calibration. - Once you’ve selected the questions, click "Confirm". - Enable the "Show Analytics" toggle. - Now, select the questions you wish to include on the X-axis, followed by choosing a question for the Y-axis from the dropdown menu. - When selecting questions for the X and Y axes in the 9-box grid, you establish the metrics for assessing employees' potential and performance. The X-axis typically focuses on performance, while the Y-axis emphasizes potential. Employees are then positioned in the grid according to their responses. For instance, high scores in both areas place an employee in Box 9, indicating high performance and high potential, while low scores in both areas place them in Box 1, indicating low performance and low potential. - You can view the X-axis and Y-axis scores by selecting any employee within the boxes. - You can also customize the names of the boxes in the 9-box grid to suit your needs and categorize them accordingly. - The numbers represent the count of employees assigned to each specific box, along with the percentage that this count represents of the total evaluations conducted.

Review Cycle Duplication Explained

When you duplicate a review cycle in Peoplebox, most of the setup is carried forward to save time. However, certain elements are intentionally reset or excluded to ensure accuracy and prevent misconfiguration. This document outlines exactly what is and isn’t duplicated, based on current system behavior. What Is Copied Core Review Cycle Details - Title (updated to your input) - Status is set to “draft” - Start and end dates are cleared - PDF configurations are copied - Goal cycle configurations (structure only, not the goals) - All phases (recreated using the original setup) Reviewer Setup - All reviewer types (Self, Manager, etc.) - Reviewer templates (excluding weighted score questions) - Custom reviewers are copied. - Peer configuration: - Selection and approval roles are copied if present - Role mappings are restored if they exist in the new cycle Reviewees and Reviewers - Only active reviewees from the original cycle are copied - Only active reviewers are copied if: - The reviewer is active - The reviewee is active - The reviewer is not a peer reviewer - Manager mappings are carried forward from the previous cycle (not refreshed from the latest employee database) Questions - All question blocks are copied, except weighted score (calculated) questions - A fresh copy of each question is created - All options within each question are also duplicated What Is Not Copied - Goals and Competencies: Goals and competencies assigned at the individual level are not duplicated. These can change between cycles and need to be reassigned manually to ensure accuracy. - Weighted Score Questions: These are skipped intentionally during duplication because they are tightly linked to formulas and attributes that might not carry over correctly. You will need to re-add them in the new template. - Peer Reviewers: Peer reviewers are not copied. This is because peer selection is typically dynamic and happens within each review cycle based on current team dynamics. - Inactive Employees: If a reviewee or reviewer is marked inactive in your employee database, they will not be included in the duplicated cycle. - Review Progress and Status: All progress (like “Self-review submitted” or “Manager summary done”) is reset. This ensures the new cycle starts fresh with no residual data. - Reviewee Custom Variables: Any custom weightages previously attached to reviewees are cleared, since these are often cycle-specific and can cause confusion if reused. - Notifications, Homepage Actions, and Responses: All system-generated actions, alerts, and responses from the previous cycle are discarded. These are considered transient and tied to the old cycle only. What You Should Do After Duplication 1. Review the list of reviewees Ensure that all relevant employees are included in the new cycle. Add or remove as needed. 2. Reassign goals and competencies If employees should continue with past goals or competencies, assign them manually. 3. Reconfigure weighted score questions These will need to be added manually in the new templates if they are needed. 4. Review manager mappings Manager relationships are retained from the previous cycle. If there have been organizational changes, update the mappings accordingly. 5. Check custom reviewer mappings Custom reviewers are copied, but it’s important to confirm that the mappings are still valid in the context of the new cycle. Example If your original review cycle had 100 reviewees, but 10 of them are now inactive, only the remaining 90 will be duplicated. Similarly, if your template had weighted score questions, those specific questions will be skipped and must be recreated manually in the new cycle.

Manager Changes in Ongoing Review Cycle

In some cases, a manager may change while a review cycle is still in progress — due to org restructuring, team changes, role transitions, or exits. Peoplebox supports automatic mid-cycle manager updates to handle these transitions smoothly without disrupting the review process. 🧭 Admin view & configuration When creating or editing a review cycle, admins can enable Automatic Manager Changes under advanced settings. 📌Note: You must set a cut-off date — changes after this date will not reflect in the cycle. 🔄 What happens when a manager changes mid-cycle When a manager is updated for an employee during a live review cycle, Peoplebox applies the following rules to preserve data integrity and transparency. Goals - If goals were approved by the previous manager, those goals remain intact and continue to display the approver as the previous manager. - If the new manager edits and re-approves goals, the approver attribution updates to the new manager. Peers - If peers were selected or approved by the previous manager, those selections remain unless they are manually changed. - If the new manager changes and re-approves peers, the approver attribution updates accordingly. Previous manager's review (downward review) - If the previous manager submitted a review, that submission remains saved and is available to the new manager under the Previous Manager reviewer type. - If the previous manager did not submit a review, they may still submit one; any submission will be recorded and associated with the Previous Manager phase. New manager actions - The new manager will be notified and asked to write a review for the employee. - Any required homepage actions for the new manager will be created (or updated) so they can complete pending tasks. Reviewee feedback (upward review) - The reviewee will be asked to provide feedback for the new manager. They will also be asked to provide feedback for the previous manager only if they had given any feedback. 🧾 Phases, visibility & data handling To preserve prior feedback and workflows, Peoplebox creates (or reuses) system phases when manager changes occur: - Previous Manager — used for downward reviews submitted by a prior manager. The phase is created once per review and reused for subsequent manager changes. - Previous Direct Report — used for upward feedback tied to a previous direct report, created and reused in the same way. Visibility defaults: - New managers are granted visibility to the reviews associated with the Previous Manager reviewer type so they can access prior submissions. - These reviewer types are hidden and separate from the default user created type. Security and usage: - These reviewer types are system-generated and are not selectable manually by regular users. Their internal keys are specific to prevent accidental or manual use. Phases & homepage actions: - When a new system reviewer type is created, a corresponding phase and homepage action will be created. This phase is separate from the normal Write Review phase to avoid confusion and preserve workflow clarity. 📬 Notifications & daily digest Who gets notified: - Review cycle creator receives a daily email digest summarizing all manager changes applied that day. This digest is the only admin-facing email for daily updates. - New manager receives an email listing their new direct reports and any action items (e.g., Write Review links). - Reviewee (employee) receives a notification when their manager changes and is informed about what this means for the ongoing review. - Previous manager receives a summary of removed assignments; no action is required unless they submit a pending review. 📌Note: - All notifications go out at end of the day per the account time zone. - Account-level administrators can request an account-wide option to suppress manager/direct-report emails (contact Peoplebox support to enable this functionality). ⚠️ Important admin warnings Before enabling Automatic Manager Changes, be aware of the following: - Enabling this feature updates manager/direct-report assignments within this review cycle to match your employee database. Any assignments that differ from the employee table will be overwritten for the cycle. - Changes applied by this feature cannot be automatically undone. We currently do not support automatic reverting. To revert changes, you must manually reassign managers/direct reports for affected reviewees or restore from an exported snapshot. - Verify employee mappings before enabling the feature to avoid data inconsistencies. When admins enable the feature, they will be shown a confirmation modal that explains these warnings and requires an explicit acknowledgment before proceeding. ❓ FAQs Q: Will my old manager's review be deleted? A: No. If the previous manager submitted a review, it remains saved and visible under the Previous Manager phase. Q: Will goals or peers need to be re-approved after a manager change? A: No. Approved goals and peers remain as-is unless the new manager edits and re-approves them. If re-approved, the approver attribution updates to the new manager. Q: Can I automatically undo manager changes applied by this feature? A: No. Automatic reverting is not supported. To undo changes you must manually reassign managers or restore from an exported snapshot. Q: Who receives the daily digest email? A: The daily digest is sent only to the review cycle creator and summarizes the changes applied that day. All notifications go out at the end of the day per the account timezone. Account-level administrators can request an account-wide option to suppress manager/direct-report emails (contact Peoplebox support to enable this functionality). Q: Will the employee's reporting manager in the employee database be changed? A: No. Automatic Manager Changes affect assignments only within the review cycle. Your organization's employee database (HRIS) remains unchanged. 🛠️ Need help? Calibration Chart – Option-Based & Numeric-Based Rating Questions

The Calibration Chart now supports two types of rating questions — making it easier to visualize and calibrate both discrete ratings and numeric scores. 1. Understanding Rating Question Types A. Option-Based Rating Questions - Use discrete options with predefined legends. - Example: - 1 – Below Expectations - 2 – Developing - 3 – Meets Expectations - 4 – Above Expectations - 5 – Exceeds Expectations - How it looks: - Displayed as bar charts / line charts grouped by exact rating (1–5). - Each bar shows the number of employees with that score. - Works for both manager scores and calibrated scores. B. Numeric-Based Rating Questions - Use numeric input (min and max values) and can have ranges with legends. - Commonly used for: - Overall Goal Score - Overall Competency Score - Weighted Scores - Numeric custom columns - Viewing options: 1. Decimal Ranges – Uses predefined ranges set when creating the question (e.g., 2.5–3.0, 3.0–3.5). 2. Rounded Numbers – Rounds scores to the nearest whole number (e.g., 2.6 → 3). - How it looks: - Available for bar and line charts. - Applies equally to calibrated and non-calibrated scores. - How to setup ranges: - When you are creating these specific types of questions, you can use those ranges in the form to bucket your scores. - This is available in Advanced settings for goals and weighted questions. 3. Custom Columns Setup Custom columns can behave as Option based on Numeric based when creating it. - Option-Based - Map each option to a label (existing setup). - Calibrates like a discrete rating scale. - Numeric-Based - Set minimum and maximum values. - Create number ranges and link them to legends. - Calibrates like a numeric score. 4. What’s Next Going forward, we will also introduce numeric-based and option-based questions in Performance Reviews — so you’ll be able to use the same flexibility beyond calibration.

Initiate a New Review Cycle Click the "Create New Cycle" button located at the top right corner of the Reviews page Initiate a New Review Cycle 3. Choose Review Type Select the type of review you want to create either a 360-degree review or a Performance review Choose Review Type 4. Enter Review Title Next, you will be taken to a page where you need to enter the review title. Click on the "Title" field Enter Review Title 5. Configure Self-Review Settings On the "Configure steps of this review cycle" page, you can select which types of reviewers to include in the review cycle To enable a reviewer type, click the toggle switch next to the desired option. When you enable Self Review, all reviewees in the review cycle will be able to evaluate themselves on the defined review parameters Configure Self-Review Settings 6. Enable Manager's Summary (Downward Review) When you enable Manager's Summary (also called Downward Review), managers will be able to evaluate their direct reports on the defined review parameters Enable Manager's Summary (Downward Review) 7. Save and Continue Setup After enabling the required phases for your review cycle, click "Save & Continue" Save and Continue Setup 8. Create Review Forms Under Forms, you will need to create the questions for the phases you have selected. Once the questions are set, click "Save & Continue" to proceed Create Review Forms 9. Under this tab, you can view all the phases included in the review cycle, along with their status, progress, start date, and end date 2. Viewing the Phase End Date On the right-hand side of a review phase, you can view its end date, which represents the deadline for all participants included in that phase Viewing the Phase End Date 3. Accessing Participant Details Click on the review phase to see the list of participants included in it. Under the Launched section, you will see an Edit End Date option for individual participants Accessing Participant Details 4. Selecting Participants Select the employees for whom you want to edit the end date. This allows you to adjust deadlines for specific participants without affecting the entire phase Selecting Participants 5. Editing the End Date After clicking Edit End Date, you will see two options: - End Now – to immediately close the phase for selected participants - End Later – to extend the phase and set a new end date and time Editing the End Date 6. Changing a Manager in a Review Cycle

Open The Review Cycle Click on Open for the specific review cycle where you want to change the manager for a reviewee Open The Review Cycle 3. On the right-hand side of the reviewee for whom you want to change the manager, click on the Manage Reviewee option Navigate to the Reviewees Tab 4. Access the Manager Options Under the Manager section, look to the right-hand side for the three vertical dots. Click on these dots to view more options related to the reviewee’s manager Access the Manager Options 5. Select the “Change Manager” Option After clicking the three dots, a dropdown menu will appear. Select Change Manager from the available options to proceed with updating the manager for the selected reviewee Select the “Change Manager” Option 6. Acknowledge the Confirmation Message A confirmation message will appear asking you to acknowledge that you’ve read and understood the terms and conditions before changing the manager. Tick the checkbox to confirm and continue Acknowledge the Confirmation Message 7. Choose and Update the New Manager Once you’ve acknowledged, select the new manager from the dropdown list. After selecting, click on Change to finalize the update. The reviewee’s manager will now be updated for that review cycle Choose and Update the New Manager 8. Automating Manager Updates During Review Creation If you prefer not to manually change managers during an ongoing review cycle, you can set up Automatic Manager Updates while creating the review cycle. This feature ensures that any changes in reporting structure are automatically reflected in the reviews. If you want to download review packets for all reviewees at once, click on the Download option available on the screen Navigate to the Reviewees Tab 4. Select Review Packets PDFs After clicking on the Download option, select Review Packets PDFs from the list to generate the review documents Select Review Packets PDFs 5. Confirm the Download You’ll see two options — Submit and Cancel. Click Submit to proceed. Once confirmed, all the review packet PDFs will be compiled into a zip file, and a download link will be sent to the email address linked to your account. How to Use Filters in the Reviewee Tab of the Review Cycle

Selecting Filter Criteria You can filter reviewees using different options such as managers, departments, peers, goals status, self-review status, manager review status, and release review status. This helps you view only the employees that match the selected criteria Selecting Filter Criteria 3. Filter by Manager If you want to see reviewees under a specific manager, click on the Managers filter. A list of managers will appear. Tick the checkbox next to the manager’s name you want to view, and the Reviewee tab will show only their direct reports Filter by Manager 4. Search for a Manager You can also type the manager’s name in the search bar to quickly find and select them. However, please note that if you want to view the reviewees under their respective managers, you need to tick the checkbox next to the manager’s name Search for a Manager 5. Filter by Department You can also filter reviewees by their department. Click on the Department filter, choose the department you want, and the Reviewee tab will show only the reviewee from that department Filter by Department 6. Select Peers Category If you want to see which reviewees have their peer review submitted, click the Peer filter and tick the checkbox next to Selected. If you want to check the reviewees whose peer review is approved, tick the checkbox next to Approved. How to Launch Release Reviews and End a Review Cycle

Selecting the Review Cycle Open the review cycle in which you want to launch the Release Reviews phase and later end the cycle Selecting the Review Cycle 3. Launching the Release Review Phase Under the Phases tab, once all phases in the review cycle are completed, click Launch to release the Release Review phase Launching the Release Review Phase 4. Select Channel You can launch the phase through Slack, Email, or by using the Silent Launch option. In Silent Launch, no notifications are sent. Instead, a homepage action is created for the reviewee, where they can download their results Select Channel 5. Schedule your launch You can choose to launch the phase immediately or schedule it to be released at a later time Schedule your launch 6. Scheduling the Release Review Launch If you choose the Schedule for Later option, you must select the date and time for the launch. The Release Review phase will automatically be released to the reviewees on the scheduled date Scheduling the Release Review Launch 7. Select Recipients Select the recipients for whom you want to launch the Release Review phase Select Recipients 8. Click Launch Button Click "Launch" to proceed with the review release Click Launch Button 9. Confirming and Launching the Release Review To launch the phase, enter RELEASE REVIEW in the confirmation field and then click Release Review to launch the phase Confirming and Launching the Release Review 10. Release Review Launch Confirmation Once the Release Review phase is launched, a success message will appear confirming that the release review has been launched successfully Release Review Launch Confirmation 11. Review Cycle Status Update After ending the review cycle, the status of the review cycle will change from Live to Closed. Please note that participants will no longer be able to participate, and all homepage notifications related to the review cycle will disappear from their My Tasks section Review Cycle Status Update 16. Launching Phases After Ending a Review Cycle (Feature-Flag Based) Ideally, once a review cycle is closed, admins cannot launch any phases or send reminders. If an admin needs to extend deadlines or launch a phase for specific participants after the cycle has ended, this is only possible if the phase-participant extension feature is enabled. Currently, this feature is not enabled by default for all accounts. Enter Review Cycle Title Enter the name of the review cycle that you want to have in the text box provided under Step 1 Title Enter Review Cycle Title 4. Click Save And Continue Click Save & Continue to proceed to the next configuration step Click Save And Continue 5. Configuring Reviewer Types Under Step 2: Config, you will see four reviewer types: - Self-Review – Reviewees evaluate themselves based on the defined review parameters. - Peer Review – Reviewees provide feedback to peers they have worked with closely. - Direct Report Review (Upward Review) – Reviewees review their managers to whom they report directly. - Manager’s Summary (Downward Review) – Managers write reviews for their direct reports. Next to each reviewer type, there is a toggle button. To include a reviewer type in your review cycle, turn on the toggle button next to that type. Only the enabled reviewer types will be active in this cycle Configuring Reviewer Types 6. Peer Selection by Employees If you enable Peer Review, you will see three options for selecting and approving peers for employees: First option is Enable Peer Selection by Employees – Employees can nominate the peers who will provide reviews for them Peer Selection by Employees 7. Peer Approval by Managers Second option is Enable Peer Approval by Managers – If you want managers to approve the peers nominated by employees, enable this option. This helps avoid any bias in the review process Peer Approval by Managers 8. Peer Selection by Managers Third option is Enable Peer Selection by Managers – In this option managers select peers for their direct reports. This option allows managers to directly assign peer reviewers without employee nominations Peer Selection by Managers 9. Peer Reviewer Count Settings Under Peer Settings, you can set the limit for the number of peer reviewers an employee can select. In this option, you need to specify the minimum and maximum number of peer reviewers allowed. This helps control how many peers an employee can choose during the peer selection process Peer Reviewer Count Settings 10. Enable Peer Selection by Employees Who Are Not Part of the Review Cycle Under Peer Review, there are three options. The first option is Employees can select peers who are not part of the review cycle. When this option is enabled, employees can select peers as their peer reviewers even if those peers are not added as reviewees in Step 5. This is useful when you want employees to only give peer feedback as reviewer and not participate as reviewees in the review process. To enable this, tick the checkbox next to this option Enable Peer Selection by Employees Who Are Not Part of the Review Cycle 11. Peer Reviewers Can Add and Review Additional Peers In this step, once the selected peer reviewers are giving peer reviews to their peers, they will see a list of peers for whom they need to write reviews. On the Peer Details screen, at the top-right corner, reviewers will get Add Peers button. By clicking this button, employees can select additional peers they would like to review and write peer reviews for. However, they will only be able to add peers who are already included as reviewees in the review cycle. To enable this option, you need to tick the checkbox next to this setting in the Peer Settings Peer Reviewers Can Add and Review Additional Peers 12. Peer Review: Launch as a Separate Phase The third option under Peer Review is Launch as a Separate Phase. Enabling this changes how the Peer Review phase appears once the review cycle goes live. By default, Self Review, Peer Review, and Direct Report Review are grouped together under the Write Reviews phase and launch at the same time. If you want Peer Review to appear as its own phase—so you can launch it independently—you need to tick this checkbox. Once enabled, Peer Review will show as a separate phase in the cycle Peer Review : Launch as a Separate Phase 13. Upward Review: Including Direct Reports as Reviewers or Reviewees If you enable Direct Report Review (Upward Review), you will see two options. The first option is Include Direct Reports Who Are Not Part of the Review Cycle. If you select Include Direct Reports who are not part of the review cycle, then under Step 4 – Reviewees, if the manager is added as a reviewee, all the direct reports of that manager will automatically become reviewers under Step 5 – Reviewers. This means the system will automatically include a manager’s direct reports as reviewers when this option is enabled. This is useful when: You only want direct reports to be added as reviewers to give upward feedback to their manager, and You do not want them to participate as reviewees in the current review cycle. However, if you want direct reports to be added as reviewees and give other reviews as well (for example, completing a Self-Review or receiving a review from their own manager), then they must be added as Reviewees in Step 4. Only then will they appear as participants in the full review process. To enable this, you will need to untick the checkbox for this option Upward Review: Including Direct Reports as Reviewers or Reviewees 14. Upward Review: Launch as a Separate Phase The second option under Direct Report Review (Upward Review) is Launch as a Separate Phase. Enabling this changes how the Direct Report Review phase appears once the review cycle is live. This works the same way as the Launch as a Separate Phase option in Peer Reviews. When enabled, Direct Report Review will not be included under the combined Write Reviews phase. Instead, it will appear as an independent phase that you can launch separately whenever needed Upward Review : Launch as a Separate Phase 15. Enabling Manager’s Summary (Downward Review) If you want managers to write reviews for their direct reports, you need to enable the toggle button next to the Manager’s Summary (Downward Review) option Enabling Manager’s Summary (Downward Review)

Adding Peer Reviewers via CSV After clicking on the Peer Review option, you can add reviewers using two methods: - Import CSV: Upload a CSV file to add peer reviewers in bulk. - Manual Addition: Add reviewers directly from the UI. If you prefer adding reviewers through a CSV file, click on the Import CSV option Adding Peer Reviewers via CSV 3. Downloading and Using the CSV Template for Reviewer Import After clicking on Import CSV, you will see an option to download the CSV template used for adding peer reviewers. Click Download to get the template. The template contains the following three columns, which must be filled correctly: ReviewerEmail, RevieweeEmail, & ReviewerType. Please ensure that you upload the reviewer, reviewee, and reviewer type details in the same template format for the import to work successfully Downloading and Using the CSV Template for Reviewer Import 4. Uploading Reviewer Details via CSV Once you have entered all the reviewer details in the CSV file, you need to upload it, so the information appears in the UI. To do this, go back to the Peer Review option and click on the Import CSV option again Uploading Reviewer Details via CSV 5. Viewing Imported Details in Reviewers tab Once the file is uploaded, the reviewer details, reviewee details, and reviewer type will be added and displayed under the Peer Review section in Step 5 Reviewers Viewing Imported Details in Reviewers tab 7. Adding Reviewers Manually You can also add reviewers directly from the UI by clicking on the Add Reviewers option. This allows you to manually select and assign peer reviewers without using a CSV file Adding Reviewers Manually 8. Selecting Reviewers and Reviewees After clicking on the Add Reviewers option, follow these steps: Select the reviewer you want to add. A list of available reviewers will load. If the reviewer’s name does not appear in the list, type the name in the text box under Reviewer to search for them. Select the reviewee for whom this reviewer will provide peer feedback. Choose the relationship type as Peer. This ensures the reviewer is correctly assigned to provide peer feedback for the selected reviewee Selecting Reviewers and Reviewees 9. Adding Additional Reviewers You can add more reviewers by clicking on the Add Another Reviewer option. This allows you to assign multiple reviewers to the same reviewee as needed Adding Additional Reviewers 10. Confirm Add Reviewers Click Add to finalize adding the selected reviewers Confirm Add Reviewers 11. Viewing Added Reviewers The details of the added reviewer, reviewee, and reviewer type will appear in the Reviewer tab under the Peer Review section Viewing Added Reviewers 12. Filtering Reviewers You can use the Filters panel to sort reviewers by Department, Location, Managers, and Tenure Filtering Reviewers 13. Adding Custom Reviewers To add reviewers to Custom Review, you can follow the same methods used for Peer Reviewers: Upload via CSV – Click on Import CSV, fill in the reviewer, reviewee, and reviewer type details, and then upload again. Manual Addition – Click on the Add Reviewers button to manually select and assign reviewers Adding Custom Reviewers 14. Removing an Added Reviewer If you want to remove an added reviewer, you can do so by clicking the minus (–) icon next to the reviewer’s name. Manage Pending Launch in Phases in a Review Cycle

Click here to watch the video! 1. Navigate to Phases Section Click on the Phases tab in the review cycle to display all the phases Navigate to Phases Section 2. Pending Launches in Phases The Phases tab will display the list of phases enabled for the review cycle. Under each phase, after end date column, you will see how many pending launches there are for that phase. It shows the count of pending launches. Pending launches mean that you are yet to launch the peer selection phase for 45 reviewees, as shown in the image. If you want to see who the 45 reviewees are for whom the peer selection phase has not been launched yet, you can click on the 45 pending launches text, as shown in the image Pending Launches in Phases 3. Peer Selection Phase Details After clicking on the 45 pending launches text, the peer selection phase details will open. This window shows all information related to the launches. You can see how many reviewees are in the peer selection phase. Under All, you can view the list of reviewees. Each reviewee has two columns: Launch Status shows whether the peer selection phase has been launched or not for that reviewee. Completion Status shows whether the reviewee has completed the peer selection or not. If the Launch Status is Pending, it means the phase is not launched for that reviewee. If it shows Launched, the phase is launched. If the Completion Status is Completed, it means the reviewee has finished the peer selection. If Completion Status shows Not Completed, it means the employee has not completed the peer selection yet Peer Selection Phase Details 4. Launch Pending List In Launch Pending, it shows the list of reviewees for whom the peer selection phase needs to be launched, or for whom the peer selection phase is pending and not launched yet Launch Pending List 5. Partial Launch Status Under Launch Status, Partial means that some phases have already been launched, but a few phases are still pending. To check which phases are yet to be launched, simply hover over the Partial status to view the details Partial Launch Status 6. Launched List In Launched, it shows the details of reviewees for whom the peer selection phase is launched Launched List 7. Not Completed List In Not Completed, it shows the reviewees details for whom the peer selection phase is launched, but they have not completed their peer selection yet Not Completed List 8. Launch Peer Selection for Pending Reviewees If you want to launch the peer selection phase for pending reviewees, you need to click on the Launch Pending list. Then, tick the checkbox to select all, and click the Launch button on the right side to launch the peer selection phase for the pending reviewees Launch Peer Selection for Pending Reviewees 9. Launch Peer Selection for a Specific Reviewee If you want to launch the peer selection phase only for a specific reviewee, you can do so by clicking on the Launch Pending list. Under this section, enter the email ID of the reviewee for whom you want to launch the phase. After entering the email ID, the reviewee details will appear. Tick the checkbox next to the reviewee’s name Launch Peer Selection for a Specific Reviewee 10. Automate Scheduling for 1-on-1s After a Review

Click here to watch the video! 1. Access Advanced Settings In the Step 2 Config tab, go to advanced settings and click the dropdown icon next to advanced settings Access Advanced Settings 2. Schedule 1-on-1 After Review Under Advanced Settings, you’ll find the option to create a 1-on-1 after the review is completed. This meeting will be scheduled between the manager and employee for the next day, using the review responses as talking points. You can select when you want the 1-on-1 to be created Please select one of the following options: - Don't create: No 1-on-1 will be scheduled - When Self Review is complete: Schedules a 1-on-1 the day after the self-review is completed - When Manager Review is complete: Schedules a 1-on-1 the day after the manager review is completed - When Self Review and Manager Review are complete: Schedules a 1-on-1 the day after both reviews are completed Schedule 1-on-1 After Review 3. Save 1-on-1 Scheduling Settings After selecting when to create the 1-on-1, click Save & Continue to save your scheduling settings Save 1-on-1 Scheduling Settings 4. 1-on-1 Scheduled After Review Based on the option selected by the admin, 1-on-1 will be created the next day between the manager and the direct report after the review is completed 1-on-1 Scheduled After Review 5. Review Responses as Talking Points in 1-on-1 All the review responses from the manager and the direct report will appear as talking points in the 1-on-1.
