Getting Started with Single Sign-On

1.Single sign-on (SSO) is an authentication process that allows users to access multiple applications with one set of login credentials. Peoplebox supports the option of SSO authentication to provide a seamless sign-on experience to users. SSO integration with Peoplebox is a step towards enterprise readiness to provide easy and adequate access for larger teams without the added burden of managing login credentials. Note: Peoplebox can only accept the user's email address. In setup, the user defines the SAML assertion with necessary data. Peoplebox SSO will fail if it receives anything but an email address. Prerequisites: You must have an active Peoplebox account with company admin access. 2.Access your Peoplebox "Settings" and click on the "Single Sign-On" option 3.Configure SSO: In this step, copy the SSO ACS URL and add it to your Identity Provider app (e.g., Okta, OneLogin, etc.) to generate the metadata XML file 4.Once the metadata XML file is generated, click the "Upload Metadata" button and upload the file 5.Enable SSO: Enable SSO for all users of the organization by clicking the "Enable SSO" button. Going forward, all users will be required to sign in through the Identity Provider login page. Note: You can disable the SSO setup for your company anytime by toggling the "Enable SSO" 6.Points To Note: Once SSO is enabled, Peoplebox accounts for all new users within your organization will be automatically activated. Entering the correct email will automatically redirect them to an SSO login. You cannot reset your Peoplebox password when SSO is enabled. Instead, manage your password in your identity provider app (IDP)

Archive a Department

Things to Keep in mind before Archiving - Archiving a department hides the department from the users in OKRs, Biz Reviews & KPIs but doesn't delete any related data. - Employee Department mapping remains intact for employees belonging to archived departments. - For Surveys, Performance reviews, Insights and 1 on 1s the archived departments will still be visible. To help you get started with this new feature, we have created this help article that outlines the step-by-step process of archiving a department in Peoplebox. Archiving a Department​ 1. Click on the Profile Icon Click on the Profile Icon 2. Click on Settings Click on Settings 3. Click on Manage Departments Click on Manage Departments 4. Click on the 3 dots next to the department you wish to Archive Click on the 3 dots next to the department you wish to Archive 5. Click on Archive Click on Archive 6. Read the instructions carefully If the department you wish to archive has children then you would get an option to delete just the department or the department and its children. Also archiving a department will only hide the departments from OKRs, Biz Reviews and KPIs. The department/s will still be visible in all other products. Read the instructions carefully 7. Select the option you want to choose and Archive Select the option you want to choose and Archive 8. You can now try searching for the department and it won't be visible anymore. For the users for whom the departments are pinned, they will be greyed out and marked with an asterisk. You can now try searching for the department and they won't be visible anymore. Viewing and Restoring a Department ​1. Click on Manage Departments Click on Manage Departments 2. Click on the dropdown next to Search a Department Click on the dropdown next to Search a Department 3. Select Archived Select Archived 4. Click on the 3 dots of the department you want to restore Click on the 3 dots of the department you want to restore 5. Click on Restore Click on Restore 6. Click on Active to see the department restored Click on Active to see the department restored 7. Department is restored Once the department is restored it will work the same way it used to work before archiving. Child departments need to be archived separately. If the complete tree was archived at the same time, child departments would also get connected back to the parents. Whereas if child departments were archived separately then the user will have to connect such departments to the correct parent again. Department is restored

Slack Integration

If most of your team hangs out on Slack rather than checking emails regularly, it's a smart move to use Slack for communication. Go to the 'Settings' option under your profile. Then go to 'Integrations' from the left panel and click on 'Slack'. Once you click on add to Slack, you'll be redirected to your Slack Workspace where you can give access to Peoplebox. After you authorize, it will redirect you to Peoplebox with the Integration success message. You can also see the employees in Peoplebox who have Slack integrated Here's a list of notifications and reminders that you'll receive on Slack once it's integrated with Peoplebox: 1. Reviews All performance review notifications when launched by admin will be notified using the Slack app. You can participate and complete it within Slack. 2. Surveys All surveys when initiated you can complete entirely inside your Slack app. 3. Add talking points reminder for upcoming 1-on-1 meetings Before any upcoming 1-on-1 meetings, Peoplebox will remind you through Slack to add talking points for that meeting 4. Action item reminder When you set a reminder for your action items, you will be notified on Slack when its due 5. Goal assignment If someone assigns you as the owner of a goal, you will immediately receive a notification on Slack 6. Weekly goal(s) check-in Every Tuesday, you will be notified on Slack to update the progress of your goal(s). Note: If you integrate Slack with Peoplebox for any one feature, it will be automatically integrated with other features as well.

Launching 1-on-1s in your organization

There are some key elements for a successful launch and adoption of a 1-on-1 program in your organization. - Having a champion in each team/group drastically increases the adoption of the program. It is important that the champion believes and wants to invest time in building a 1-on-1 culture within the team. Usually it is the business leaders, CTOs or P&L leaders who are concerned about performance, motivation and retention. - Building a process and accountability with cadence ensures that the 1-on-1s are happening regularly. Setup 1-on-1s with your direct reports: Decide a specific day that can be recurring for each of your direct reports and create a calendar event. 4. Prepare for your 1-on-1: If you have some talking points before the 1-on-1, add them to the notes so that your manager/direct report is ready. 5. Checkin performance rating: Before each 1-on-1 checkin the performance rating for your direct report since the last 1-on-1. This helps to aggregate over a period of time how their performance has been. 6. Request for productivity checkin: Request your direct report to update their productivity rating before 1-on-1s - this helps you to have a conversation on how you can improve their productivity. 7. Capture Notes: It is important to capture notes in the 1-on-1 to ensure that your 1-on-1s are documented. 8. Employee Data CSV formatting

The CSV of the employee data contains the following topics: 3. Company Employee Id: This column stores a unique identification number assigned to each employee in the company. It helps in uniquely identifying employees in the dataset. 4. Full Name: This column contains the full name of each employee. 5. Email: The email column stores the email address of each employee. This information is used for communication within the company and may also serve as a unique identifier for employees. 6. Manager Email: This column contains the email address of the manager of each employee. It helps in establishing the reporting hierarchy within the company. 7. Department: The department column represents the specific department or team to which each employee belongs. 8. Title: The title column stores the job title or designation of each employee. 9. Gender: This column captures the gender of each employee. 10. Date of Joining: The date of joining column records the date when each employee joined the company. It provides information about the tenure of an employee in the organization. The date format should follow Day-Month-Year. 11. Date of Exit: This column is used to record the date when an employee exited or left the company. 12. Age: The age column represents the age of each employee. 13. Division: The division column categorizes employees based on the division or segment of the company they are associated with. 14. Business Unit: This column captures the specific business unit or department within the company to which each employee belongs. 15. Location: The location column represents the physical location or office where each employee is based. 16.
