Using Suggested Talking Points in 1-On-1 Meetings

Adding Suggested Talking Points to Your 1-on-1 Meeting To add talking points to your shared notes: Open the 1-on-1 meeting for which you want to include talking points. On the right side of the screen, locate the Suggested Talking Points option. Click on it to view and add predefined talking points directly to your shared notes Adding Suggested Talking Points to Your 1-on-1 Meeting 2. Adding Predefined Talking Points After clicking on the Suggested Talking Points option, a list of predefined talking points will be displayed. To add a talking point to your shared notes, simply click the Plus (+) icon next to it Adding Predefined Talking Points 3. Automatic Addition of Talking Points After clicking the Plus (+) icon next to a talking point, it will automatically be added under your Talking Points Automatic Addition of Talking Points 4. Selecting Recommended Talking Points To add talking points organized by categories such as Work Culture, Company Culture, or Recognition, click on the Recommended option. These display talking points sorted by categories, allowing you to select the most relevant topics for your 1-on-1 meeting Selecting Recommended Talking Points 5. Choosing Categories in Recommended Talking Points After clicking on the Recommended option, a list of categories will appear. You can select any category to view its related talking points and add them directly to your shared notes Choosing Categories in Recommended Talking Points 6. Adding Talking Points from Selected Categories After selecting a category, a list of talking points under that category will be displayed. You can add any talking point to your shared notes by clicking the Plus (+) icon present near the talking points. Once clicked, the talking point is automatically added to your shared notes, making it easy to include relevant topics in your 1-on-1 meetings Adding Talking Points from Selected Categories Please note: You can also add talking points through email. Before each 1-on-1, Peoplebox sends you a reminder email with some recommended talking points to discuss.

How to Add Action Items in 1-on-1 Meetings

Click here to watch the video! 1. Access 1-on-1 Module Click on the 1-on-1 module present on your homepage to access the 1-on-1 section in the platform Access 1-on-1 Module 2. Open any 1-on-1 Meeting After clicking on the 1-on-1 module, a list of 1-on-1s will be displayed. Select any 1-on-1 session where you want to add action items Open any 1-on-1 Meeting 3. Add Action Items in 1-on-1 After opening a 1-on-1 meeting, you will see a section named Action Items. Under this section, you can add all your action items for the 1-on-1 meeting. To add an action item: Place the cursor or click on the first field under Action Items next to the square box. Then type the text you want to add as an action item Add Action Items in 1-on-1 4. Add Another Action Item To add another action item, press Enter. A new square box will appear after the first action tem that you have created, where you can type and add the next action item Add Another Action Item 5. Assign Action Items to Participants After creating the action items, you need to assign them to the appropriate meeting participants. This helps clarify who is responsible for completing each action item. To assign an action item, click the dropdown icon next to the action item name Assign Action Items to Participants 6. Selecting a Participant for the Action Item After clicking the dropdown icon, you will see the names of the meeting participants who are part of the 1-on-1 meeting. In this example, the participants are Samanth Kumar and Rithvik Harikumar. Select the participant to whom you want to assign the action item. For instance, click Samanth Kumar to assign the action item to Samanth, or select Rithvik Harikumar to assign it to Rithvik Selecting a Participant for the Action Item 7. Convert Talking Points into Action Items You have the option to convert talking points into action items. To do this, place your cursor at the end of the talking point you want to convert, or click at the end of the talking point Convert Talking Points into Action Items 8. Convert Talking Points into Action Items After placing the cursor at the end of the talking point, click the Action Item icon at the top. Once you click the icon, the selected talking point will be converted into an action item. The talking point icon will also change to a square box, indicating that it is now an action item Convert Talking Points into Action Items 9. Mark Action Items as Completed If you have completed an action item, you can mark it as completed by clicking the checkbox next to the action item you added. Once checked, a strike-through will appear on the action item text, indicating that it has been completed Mark Action Items as Completed 10. Setting Reminders for Action Items You can set reminders for action items assigned to you or ones you create for yourself. This ensures you don’t miss any important tasks. To set a reminder, click the dropdown icon next to your name, located beside the action item Setting Reminders for Action Items 11. Setting a Date and Time for Action Item Reminders After clicking the dropdown icon next to your name, select the Set Reminder option. When you hover over it, various date and time options will appear on the right. You can choose any options like Later Today, Tomorrow, or 1 Week late, or select a custom date and time that works best for you to set the reminder for your action item Setting a Date and Time for Action Item Reminders 12. Click Set Button to Save Reminder If you are choosing a date from the calendar and then setting a specific time, you must click the Set button to confirm and save the reminder. This step is only required when setting reminders via the calendar Click Set Button to Save Reminder 13. View Scheduled Reminders After setting a reminder, a bell icon will appear next to your name under the action item. When you hover over the bell icon, it will display the date and time on which the reminder is scheduled View Scheduled Reminders 14. Action Item Reminder Email Format The action item reminder will be sent to your email and will appear in this format as shown in this image Action Item Reminder Email Format 15. Adding Action Items Directly in the Platform If you don’t want an action item to be added within a 1-on-1 meeting, you can add it directly in the 1-on-1 module. In the 1-on-1 module section, at the right side of the screen, click the Plus icon present near the Action Items option to add a new item. Any action item you add this way will be assigned only to you and not to any other participant Adding Action Items Directly in the Platform 16. Add New Action Item After clicking the Plus icon near action item, a text box will appear where you can type your action item. Once you have entered the action item, press Enter to add it to the platform. This action item will be assigned only to you Add New Action Item 17. View Action Items Added All action items that you create directly in the platform (without linking them to a 1-on-1 meeting) will appear under the Action Items section, as shown in the image. They will not be tied to any specific 1-on-1 meeting and are visible only in the Action Items list in 1-on-1 module section View Action Items Added 18. Setting Reminders from the Action Items List You can also set reminders for action items from the Action Items list. To do this, hover over the action item, and you will see a three-dot options menu on the right side of the action item that you have created. Click on three dots to Set Reminder for action items Setting Reminders from the Action Items List 19. Set Reminders After clicking the three-dot menu and select Set Reminder option and then choose the date and time for the reminder. You can refer to the above steps, as the process is the same as setting reminders inside a 1-on-1 Set Reminders 20. Marking an Action Item as Completed If an action item is completed, you can mark it as done by selecting the checkbox next to the action item name. This helps track which tasks have been finished Marking an Action Item as Completed 21. View Completed Action Items Once an action item is marked as completed, it will appear under the Completed section. How to Create Recurring 1-on-1s Using Calendar Sync

In this example, a recurring 1-on-1 with a direct report is scheduled every Friday at 9:00 p.m. Scheduling a Recurring 1-on-1 in Calendar 2. Accessing the 1-on-1s Module Navigate to the 1-on-1s module on Peoplebox and click on "Add Events from Calendar" to begin syncing your meetings Accessing the 1-on-1s Module 3. Selecting Calendar Source You’ll be prompted to choose your calendar source. Select Google to proceed with syncing your Google Calendar events Selecting Calendar Source 4. Choosing the Account to Sync If you have multiple Google accounts, select the official email account that you use to login on Peoplebox Choosing the Account to Sync 5. Viewing Scheduled Meetings Once your calendar is synced, all your scheduled meetings will appear in the list. Locate the recurring 1-on-1 meeting and click on it to import Viewing Scheduled Meetings 6. Confirm Adding Events Click "Add Events" to import the selected 1-on-1 meeting from your calendar into the tool Confirm Adding Events 7. 1-on-1 Successfully Synced Your recurring 1-on-1 with your direct report is now automatically synced with the Peoplebox. How to Create a 1-on-1 with Your Direct Report and Use Private Notes

Accessing the 1-on-1 Module To create a new 1-on-1 meeting, navigate to the 1-on-1 module from the left navigation bar Accessing the 1-on-1 Module 3. Options for Creating a 1-on-1 Here, you will see two options: you can either add events directly from your calendar or create a new 1-on-1 within the tool. In this example, we are selecting “Create a New 1-on-1” to schedule the meeting directly from the platform Options for Creating a 1-on-1 4. Selecting the Employee and Scheduling the 1-on-1 Once you choose to create a new 1-on-1, you can select the employee you want to meet with. In this case, we are selecting Rishita, the direct report. Then choose the date, time, and duration of the meeting, and click Create to schedule it Selecting the Employee and Scheduling the 1-on-1 5. Shared Notes and Action Items After creating the 1-on-1, you’ll see the Shared Notes space. Both you and your direct report can add talking points and action items here. Anything added in this section is visible to both participants Shared Notes and Action Items 6. Using Private Notes If you scroll down, you will find the Private Notes section. This is where you can document your personal notes or observations during the 1-on-1. These notes are strictly private and visible only to you Using Private Notes 7. Adding Notes Across Multiple 1-on-1s You can continue adding private notes over time, even across multiple 1-on-1 meetings with the same direct report Adding Notes Across Multiple 1-on-1s 8. Viewing Scheduled 1-on-1s If the 1-on-1 you created is scheduled for a future date, it will appear under the Later tab in the 1-on-1 module.
