1. Navigate to the Reviews Module
From the left-hand panel on your homepage, click on the Reviews module to access all review cycles

2. Open the Review Cycle
You will now see all the review cycles that have been created. Open the review cycle for which you want to enable the automatic reviewee addition feature

3. Navigate to Automation Tab
Inside the review cycle, click on the Automation tab to view and manage automation settings

4. Enable Automatic Reviewee Addition
Under the Automation tab, locate the Add to Review Cycle option. Turn on the toggle button on the right-hand side to automatically add employees to the review cycle

5. Configure the Automation Trigger Frequency
Once enabled, you will see the Trigger section where you can configure how frequently the automation should run
Enter the number value and select the frequency type from the dropdown options such as Day, Week, or Month For example, if you select 7 and Day, the automation will be triggered once every 7 days

6. Clear Existing Rules
If you want to remove all previously configured automation rules, click on the Clear All Rules option. This will delete all the existing rules configured for the automation

7. Add a New Automation Rule
To create your own automation criteria, click on the Add Rule option

8. Define Employee Criteria
Here, you need to define the criteria employees must meet to be automatically added to the review cycle. In this example, the selected one is Department

9. Select Departments
Choose the departments that should be included in the automation criteria. You can select multiple options at once. In this example, Customer Success and Marketing have been selected

10. Save the Automation Configuration
The action is automatically predefined as Add Employee to the Review Cycle. Once you finish configuring the criteria, click on Save. Employees who meet the defined conditions will automatically be added to the review cycle

11. View Eligible Employees
Once the configuration is saved, you will see the list of employees who meet the defined criteria. The list will display details such as employee name, email ID, and department

12. Proceed to Launch Phase Options
To continue to the launch phase settings, click on the Next button located at the bottom-right corner of the screen

13. Enable Launch Phases Automation
Under the Launch Phases section, enable the toggle button on the right-hand side. This feature automatically launches and manages review phases for each reviewee based on the configured automation rules

14. Understand the Trigger Condition
Under the Trigger option, you will see the condition that starts the automation. By default, the trigger is set to "A New Reviewee is Added"

15. Select the Review Phase Action
Under the Action section, select the review phase that should be launched when the defined conditions are met
In this example, the Self Review phase has been selected, which means the self-review phase will automatically launch for employees who meet the criteria

16. Configure the Launch Timing
You can now configure when the selected review phase should be launched for employees who meet the defined conditions. There are three available launch options:

If you select Instant, the phase will be launched immediately as soon as the automation conditions are met. For example, if a new employee is automatically added to the review cycle today, the Self Review phase will start instantly for that employee

If you select On, you can schedule the phase to launch on a specific date and time. For example, you can configure the Self Review phase to launch on 10th June at 10:00 AM for all employees who are added through the automation

If you select After, the phase will launch after a defined duration once the trigger condition is met. For example, if you set the duration to 7 days, the Self Review phase will automatically launch 7 days after the employee is added to the review cycle

17. Configure When the Phase Ends
You can also configure when the launched review phase should end:

If you select End of Review Cycle, the phase will remain active until the review cycle is completed

If you select On, you can specify a particular date and time for the phase to end

If you select After, the phase will automatically end after the defined duration from the time it is launched

18. Choose Notification Preferences
You can configure how employees will be notified when the review phase is launched:

If you select Email, employees will receive an email notification regarding the phase launch
-
If you select Slack, the notification will be sent through Slack
-
You can also choose Silent Launch, where the review action will still appear on the employee’s homepage, but no notification will be sent through email or Slack

19. Customize Notification Messages
If you select Email or Slack notifications, you can customize the message that will be sent to employees during the phase launch

20. Review the Launch Configuration Summary
Below the configuration section, you can review the complete launch setup

21. Add Another Review Phase
If you want to automate additional review phases, click on the "Add Phase" option to configure another phase

22. Save the Automation Configuration
Once all configurations are completed, click on Save to apply and enable the automation settings for the review cycle
